Terms and Conditions of Admission
All students enrolled in any program or course offered by Fort Worth Flight School are bound by the school’s rules, necessitating full compliance. Strict adherence is required concerning alcohol, controlled substances, flying with unauthorized passengers, and other serious offenses. It is imperative for students to not only follow the explicit laws but also adhere to the broader ethical and legal principles of the country where the course is conducted to maintain valid student status.
Violations of local laws will result in immediate dismissal from the program, with international students facing repatriation to their home country. The obligation to pay tuition fees is absolute and unconditional. Regardless of subsequent circumstances such as absence, suspension, expulsion, dismissal, or voluntary withdrawal, no portion of the paid or outstanding fees will be refunded or canceled.
Additionally, students are responsible for covering all necessary bank and/or transfer charges related to any financial transactions. It is crucial for students to understand that by making a fee deposit payment to the school, they are committing to pay the full amount of their tuition fees to the school in due course.
Students with outstanding balances face immediate consequences. The school will place them on hold, barring attendance to classes until full payment is received. Fort Worth Flight School retains the right to suspend, expel, or restrict students from lectures and flights without prior notice if fees are overdue or if there is non-compliance with the applicable Terms and Conditions. Transfer to another institution is contingent upon settling all accounts with Fort Worth Flight School. International students, when applicable, may have their I-20 transferred or canceled without refund in case of transfer or discontinuation within the initial arrival period in the United States.
Balances overdue by more than 30 days incur a $500 late payment fee or a penalty amount determined by the management, considering the enrolled course and outstanding amount, along with a 5% interest charge.
It’s important to note that the tuition fees distinctly cover ground training, flight training, or a combination of both, as explicitly specified in the course details provided via email. However, certain additional expenses are not included, such as personal spending money, personal insurance, meal and housing costs, textbooks, and other necessary supplies. Travel expenses and extra costs for English Improvement Classes, if required due to inadequate language proficiency, are also not covered.
Special features and deals if applicable, including course price freeze and unlimited ground school, offered in course packages, remain valid for six months from the date of each course commencement.
Admission is contingent on availability, emphasizing the importance of early application and payment. Wire transfers are recommended for expediency. Students should be aware of potential extended course durations, incurring additional costs for unforeseen changes or extra training. Progression depends on achieving the minimum pass percentage in each course, briefed during orientation. Liability extends jointly and severally to parents or financial sponsors.
Students are responsible for any damage caused to Fort Worth Flight School and associated organization’s property. Fort Worth Flight School retains the right to recover costs for damage or exceptional cleaning.
Once the student has commenced the course or program, the school will make all reasonable endeavors to minimize disruption in case its ability to deliver programs or services is compromised by circumstances beyond its control, such as third-party industrial action or an act of God. If the program is canceled or substantially varied for reasons other than circumstances beyond the institution’s reasonable control, the school will use reasonable endeavors to provide a suitable replacement program. However, the school cannot guarantee this, and if the student chooses not to accept the replacement program, they are entitled to withdraw. In such cases, the school will make an appropriate refund of tuition fees. Depending on the timing of the withdrawal, the school reserves the right to retain fees or charges to cover the tuition or services the student has received. The school also reserves the right to change or amend refund procedures without prior notice.
When a student submits any material via application, email, letter, or other media, including text, photographs, and all content, the student, unless otherwise advised by Fort Worth Flight School, licenses and grants Avel Flight School, its affiliates, royalty-free, perpetual, worldwide, irrevocable, and sub-licensable right to use, reproduce, modify, adapt, publish, and display such content for any purpose in any media, without compensation, restriction on use, attribution, or liability. The student agrees not to assert any moral rights in relation to such use and warrants that they have the full authority to grant these rights.
Moreover, students (and their parents or guardians, where applicable) acknowledge and agree that images, sound, details, and achievements of Fort Worth Flight School may be used in any media for promotional purposes without written consent or notification, as long as the images are used to publicize Fort Worth Flight School.
No variation to these conditions is valid unless agreed in writing by the management of the school. Fort Worth Flight School reserves the right to make any addition, amendment, or alteration to these conditions upon giving written notice of such changes to all affected students.
In anticipation of the course commencement, it is of utmost importance for students to promptly furnish Fort Worth Flight School with their personal email addresses and mobile telephone numbers. This ensures seamless communication throughout the program, encompassing the transmission of vital student reports. Additionally, any alterations or updates to contact information must be promptly communicated to the school.
It is the student’s explicit responsibility to provide precise, up-to-date contact details for themselves and, where applicable, their agent. This information should comprehensively include a functioning email address. Fort Worth Flight School operates under the presumption that any communication method, be it email or otherwise, provided by the student is secure. The school explicitly disclaims any liability for damages, whether financial or otherwise, arising from the inadvertent release of the student’s personal information to a third party due to communication with an invalid or insecure contact point. This encompasses not only postal or email addresses but also telephone or fax numbers, WhatsApp, and SMS.
Additionally, students must adhere to the Federal Aviation Administration Regulations and comply with airport and school rules at all times.
Students found guilty of offenses such as obtaining support for their candidature through any means, impersonating, procuring impersonation by another person, submitting fabricated or tampered documents, making false statements, suppressing material information, resorting to irregular or improper means in connection with their candidature for admission, using obscene language, misbehaving with staff or students, or engaging in harassment or bodily harm to anyone will face immediate dismissal and expulsion.
The school reserves the right to impose additional tuition fees at its discretion if a student is unable to complete the course within the designated duration due to lack of attendance. Moreover, additional tuition fees may be charged at the school’s discretion if a student requires an extension of the course duration due to negligence or failure to complete the course within the stipulated time.
Availability of Designated Pilot Examiners may lead to delays in check-rides. Similarly, the availability of Designated Aircraft Dispatcher Examiners may result in delays in the Practical Exam. Our flight school has no control over examiner availability. Students are required to maintain regular flying to stay current between course completion signoff and the actual check-ride. The cost of additional flying necessary to maintain currency after course completion and sign-off is not included in this course and will result in additional charges.
The School reserves the right to cancel any advertised courses due to insufficient admissions or enrollments. In situations where very low attendance makes it unviable for the School to continue, the school management may choose to cancel classes. The School also reserves the right to amend fees and course commencement dates when necessary. The School prospectus is subject to alteration without prior notice. If a course is canceled, the student can only request a refund if the School fails to offer a suitable alternative course.
The School retains the right to expel or transfer students who do not fulfill the obligation of completing and submitting compulsory coursework, assignments, and/or dissertations to the relevant instructors/lecturers or who fail to demonstrate satisfactory progress in understanding the subject matter of their chosen course. The School holds no liability for such decisions.
Fort Worth Flight School is committed to collaborating with students and addressing their needs to the best of its ability. Students are encouraged to meet with the management team to discuss any challenges they may encounter with Fort Worth Flight School, and efforts will be made to resolve the issues where possible. In the event of disputes involving either students or Fort Worth Flight School, both parties are expected to attempt resolution in good faith through negotiations. If the matter remains unresolved through negotiations, either party may, through written notice, refer the matter to independent arbitration within seven (7) days of notifying the other party of the issues.
The decision of the arbitrator will be deemed final and binding. The arbitrator does not possess the authority to modify any provision of the First Worth Flight School Student Catalogue, introduce new provisions, or make an award inconsistent with the terms and conditions outlined in this student catalogue. The arbitration procedure, where applicable, shall align with the laws of Texas, the American Arbitration Association, and the (710 ILCS 30/1-1) International Commercial Arbitration Act.
It is important to note that any public disclosure or indiscretion of issues related to Fort Worth Flight School by the student or their affiliated parties will automatically forfeit their right to engage in any negotiation or arbitration procedure with Fort Worth Flight School. Fort Worth Flight School reserves the right to contest any dissemination of information related to its company.
Students who make exceptional progress in their studies, covering the course syllabus and passing associated examinations before the scheduled end date, will not retain their student status beyond the examination completion date unless they re-enroll in a new course representing a clear academic progression.
For students wishing to continue their studies at Fort Worth Flight School after completing their previous studies early, re-enrollment in a new course is mandatory. In such cases, the standard course fees of the School will apply to new enrollments.
The School is committed to assisting students in obtaining recommended textbooks and relevant materials at reasonable costs. While some reference materials are available in the School Library for consultation, students are responsible for acquiring and reading the required textbooks and course study materials before the relevant lectures. Additionally, students should procure any necessary stationery for their studies.
Only students who fulfill the following criteria are permitted to take periodic examinations and check rides for their course:
• Completion of attendance requirements.
• Absence of any pending financial dues.
• Not being barred from examinations by the Management due to disciplinary or other misdemeanors.
• No failings or discrepancies in their academic record.
• Recommendation from their Instructor/Lecturer to take the exams.
In cases where applicable, students must seek and obtain a certificate of eligibility or a similar document from the relevant professional institution/examining body before applying for a course.
It’s crucial for students to understand that gaining admission to the School does not guarantee automatic registration.
Upon request, the School will inform, counsel, and assist students in navigating different external examination entry procedures. However, it remains the students’ responsibility to stay informed and prepared for such examinations as recommended by the School and to register with the respective authorities in a timely manner. Students are expected to cover all student examination and membership fees, and the School does not charge any fee for assisting students in this regard.
All examinations in the aviation industry have a pass percentage requirement of 70%, and the same standard applies to this course. For re-examinations, additional fees will be charged. The School will not be held responsible for the outcome of visa interviews, as success or failure in obtaining a visa depends solely on individual performance during the interview and at the discretion of the adjudicating officer.
Changes, variations, or alterations to any course structure will lead to a corresponding adjustment in the course price. In the event of changes to the course structure, both ground and flight instruction will be charged at the prevailing per-hour rates.
The School retains the right to modify advertised course content, tuition fees, and start dates for its courses at its discretion and without prior notice. Additionally, the School reserves the right to amend or alter the Terms and Conditions at its discretion and without prior notice.
Students are expected to uphold the reputation of Fort Worth Flight School and adhere to all school policies, local and federal laws, and Federal Aviation Administration regulations. Conduct reflecting discredit to the school or violating these policies may lead to immediate termination of the student’s training.
All students must communicate in English during both ground and flight lessons.
Students are urged not to congregate in the main office/dispatch area for purposes unrelated to aircraft dispatch.
In cases of unsatisfactory progress, personality conflicts with instructors, non-compliance with the course curriculum, language barriers, scheduling conflicts, or personal issues, students should engage in discussions with management to reach a mutually satisfactory resolution.
Students must report to the school at least 30 minutes before the scheduled flight departure time. This time should be used to familiarize themselves with relevant flight information (e.g., weather briefing, flight planning) and any assignments given by the flight instructor. Prompt arrival, preparedness, and professionalism are expected.
Students are required to maintain respect towards all individuals, including fellow students, instructors, and administrators. Behavior should be orderly and considerate.
All forms of abuse and harassment, including but not limited to sexual, racial, ethnic, physical, and verbal abuse, are strictly prohibited. Fort Worth Flight School imposes a stringent code of conduct, expecting students to exhibit responsibility, maturity, and exemplary behavior within legal norms, whether on school premises or otherwise.
Fort Worth Flight School deems abuse, harassment, discrimination, threats, aggression, or slanderous statements against the school, its staff, and students as severe transgressions. Such actions will not be tolerated, and students found in violation of these policies are subject to disciplinary action, including potential termination, without eligibility for a tuition fee refund.
It is a mandatory requirement for all students to procure medical and travel insurance. Students are responsible for obtaining their own personal health and accident insurance, ensuring coverage for the entire duration of their stay in the US. It is imperative to note that medical treatment is not provided free of charge.
Given the close proximity between students and instructors, especially in the cockpit environment, maintaining good personal hygiene is obligatory. Students are strongly advised to ensure cleanliness by showering, wearing clean clothes, and using deodorant when attending school. The presence of offensive odors, such as bad body odor, excessive use of perfume, or poor hygiene, may lead to the cancellation of the training session. In such instances, the student will be required to leave the school premises and may return only after rectifying the issue to the satisfaction of the management or instructor.
Smoking is strictly prohibited at all times within and around the airport. Should a student be caught smoking or arrive at the school with the scent of cigarette smoke, the management/instructors retain the right to ask them to leave. Repeat offenders may face termination from the school.
Additionally, the use of all non-prescription drugs is strictly forbidden. Students are not permitted to attend school within 12 hours of alcohol consumption or if under the influence of alcohol, even after the 12-hour period has elapsed.
Moreover, students may be subject to random alcohol and drug tests. Refusal to participate in a test or failing a test will result in immediate termination from the school.
The business phone is exclusively designated for professional purposes and is not to be used for personal calls. However, the management may consider approval for personal calls in specific circumstances or emergency situations, with such calls incurring charges at the prevailing rate.
Within the school premises, encompassing classrooms and offices, the use of cell phones is strictly prohibited, except during weather briefings or emergencies. In cases of essential cell phone usage during emergencies, students must promptly exit the room. Unauthorized use of electronic devices, including cell phones, on the ramp, in the vicinity of the aircraft, or within the aircraft itself, will result in the student being asked to leave for the day and incurring a $100 fine. In the event of a repeated offense, the management retains the right to terminate the student.
Moreover, electronic devices, such as navigation, communication, and recording devices, excluding those already installed in the aircraft or expressly authorized by the school, are strictly prohibited at all times within the aircraft.
Graduation rings, also known as class rings, embody a cherished tradition worn by students and alumni to celebrate their accomplishment of graduating as pilots. The students’ graduation ring will be customized with their name engraved inside, rendering it unique to each individual. Students desiring to acquire a ring are encouraged to contact the management to place an order.
Students are expected to adhere to proper attire when attending the flight school. Proper attire is defined as follows:
• For contract/cadet pilots and international students: For Worth Flight School’s uniform is mandatory.
• For citizens or Permanent residents of the USA: Fort Worth Flight School recommends a uniform, though it is not compulsory. Clothing should be appropriate for a learning environment.
• Open-toed shoes are strictly prohibited during flight sessions.
In addition, all students must wear their student ID cards at all times during both ground school and flight training. Attendance to ground school or flight training will not be permitted without the presence of the student’s ID card or the appropriate attire, such as the uniform. In the event of a lost or stolen ID card, immediate notification to the management is required, and a $10 fee will be charged for any replacement ID cards.
Regular attendance is obligatory for all students, necessitating punctuality for scheduled ground and flight lessons. Detailed information on minimum attendance requirements and the procedure for applying for leave is available in section 6.13. This is particularly crucial for international students as it contributes to maintaining their student status.
International students are permitted a maximum of two breaks during their course. Each break must not occur within 45 consecutive days and should not extend beyond a duration of 20 days each. Should students require a more extended break, charges will be incurred for additional dual flying sessions needed to retrain them to the flying proficiency level prior to the leave.
Attendance records will be diligently maintained for each student.
Students are obligated to inform Fort Worth Flight School management about the cancellation of their ground or flight lesson at least six hours prior to the scheduled time. Additionally, students must independently notify their instructor as soon as they become aware that they cannot attend a scheduled ground or flight lesson. Failure to notify management at least six hours ahead of the scheduled time will result in a NO SHOW FEE. The NO SHOW FEE will be equivalent to the scheduled ground and flight instruction, as well as the aircraft time that was initially scheduled.
To be eligible to schedule the FAA Airman Knowledge Test, students must meet the following criteria:
• Completion of the online Ground school.
• Acquisition of the online graduation certificate.
• Successful completion of a minimum of 15 online practice tests, with no lower than a score of 90% achieved on at least three consecutive practice tests.
Once these criteria are fulfilled, the instructor in charge will recommend the student to the principal or chief flight instructor of the school for approval to schedule the FAA Airman Knowledge Test.
If any FAA Airman Knowledge Tests are included in the student’s course pricing, all testing must be conducted at Avel Flight School’s testing center, with only one attempt per test covered. Any retests, whether for the purpose of obtaining a higher score or due to failure, will be at the student’s own expense. FAA Airman Knowledge Tests taken at testing facilities other than Fort Worth Flight School will also be at the student’s own expense.
All FAA Airman Knowledge Tests must be scheduled at least 24 hours in advance, and scheduling is contingent on proctor availability.
To be eligible for scheduling the FAA Practical Test, students must meet the following criteria:
Completion of the approved syllabus of the course curriculum.
Consistent performance above practical test standards/airmen certification standards.
Consistent performance, for the purpose of this criterion, entails performing above the required standards during oral exam preparation and in at least three consecutive flights during practical test preparation.
Once these criteria are satisfied, the instructor in charge will sign off and recommend the student to the principal or chief flight instructor of the school for approval to schedule the FAA Practical Test with an examiner.
If any FAA Practical Tests are included in the student’s course pricing, all testing must be conducted at Fort Worth Flight School, and only one attempt per test is covered. Any retests and additional training needed due to failure will be at the student’s own expense.
The Student and Exchange Visitor Program (SEVP) I-901 is a mandatory US government requirement for students intending to pursue Flight Training in the United States. It serves as a prerequisite for obtaining a student visa. To facilitate a smooth visa application process, students must present the I-901 receipt to their adjudication officer during their visa interview. The completion of the I-901 is conducted online, and the Student and Exchange Visitor Program (SEVP) Form I-901 can be accessed at www.fmjfee.com. This website is designated for the online payment of the fee required for M non-immigrants.
It is crucial for students to ensure timely payment of the I-901 fee before their visa interview. Failure to pay this fee in advance will result in the denial of an M visa for admission to the United States.
The Transportation Security Administration (TSA), an agency of the U.S. Department of Homeland Security, holds authority over the security of the traveling public in the United States. The Transportation Security Administration’s Alien Flight Student Program aims to ensure that individuals seeking training at flight schools regulated by the Federal Aviation Administration (FAA) do not pose a threat to aviation or national security.
Individuals seeking flight training who are not citizens or nationals of the U.S. must submit a request if:
• They wish to receive flight training in the U.S. or its territories, regardless of whether the training leads to an FAA certificate or type rating.
• They wish to receive flight training from an FAA-certificated facility, provider, or instructor that could lead to an FAA rating, whether in the U.S. or abroad.
The application for aliens seeking to train at FAA-regulated flight schools can be found at https://www.fts.tsa.dhs.gov/home Candidates are required to complete this application before commencing flight training.
Students bear sole responsibility for the application, payments, and completion of all TSA formalities. TSA formality must be completed three consecutive times:
• Before commencing the Private Pilot Course
• Before commencing Instrument Rating
• Before commencing Multi-Engine Rating
TSA approval is a prerequisite for commencing the student’s course. The student should plan to initiate the TSA process before the course commencement to avoid delays in training.
For detailed information on TSA procedures, please refer to our TSA webpage at: http://www.avelflightschool.com/transportation-security-administration-tsa-and-alien-flight-student-program-afsp/
A minimum of 22 hours of weekly attendance is mandatory to maintain student status.
Students must pay tuition fees on schedule to attend school. Failure to pay fees may result in the student being barred from attending classes or facing termination.
Student status may be terminated for failure to report to school past the course commencement date or for not meeting minimum attendance requirements.
SEVIS regulations mandate a formal application and approval from the school before leaving the country or discontinuing any course. Students must apply by email. Leave without approval leads to automatic termination of student status and I-20.
I-20 extensions must be requested no sooner than 60 days and no later than 15 days before the program end date mentioned on the I-20. All fees related to I-20 and visa formalities are the student’s responsibility.
Students on an I-20 from Fort Worth Flight School are only allowed to fly Fort Worth Flight School authorized aircraft for flight training, time building, and logging flight hours.
While public transportation is an available option, it may not always be the most convenient or time-efficient choice. Therefore, students are strongly encouraged to consider acquiring their own cars. This provides enhanced flexibility and convenience, allowing students to travel to any destination at their convenience.
All course fees are required to be pre-paid, and once paid, they are non-refundable. Given the low-cost options and discounts provided, tuition fees are utilized for pre-purchase and advanced payments covering various overheads of the course, including fuel and maintenance.
The discounted course prices are structured as packages and do not allow for breakdown or itemization of expenditures. If items are included in the course package, such as FAA Medical Certificate, FAA Knowledge Test, FAA Examiner Fees, Books and Supplies, etc., cannot be refunded or credited for use toward flight training or any other purpose if unused. If a student discontinues or is terminated, any remaining tuition fee credits—specifically, their account balance with our flight school—will be reset to zero. The tuition fees credit/account balance may not be applied to or transferred to any other course offered by our school in the event that the student opts to enrol in a different course subsequent to discontinuation from their initial enrolment.
The student’s account status is verified before scheduling check rides. If the current balance is insufficient to cover the check ride cost, it will be denied. To avoid delays in completing the course and check ride, students must ensure their account is current at all times.
Fort Worth Flight School accepts various payment methods for the convenience of our students, including money orders, cashier’s checks, and wire transfers. Personal checks are not accepted. Wire transfer details are available on the e-brochure. It is essential that the student’s full name, as in their passport or government-issued photo ID, appears on the wire transfer to facilitate proper matching. The school is not liable for any applicable wire transfer service charges. Students with insufficient funds will not be permitted to fly.
The student’s account status is verified before scheduling check rides. If the current balance is insufficient to cover the check ride cost, it will be denied. To avoid delays in completing the course and check ride, students must ensure their account is current at all times.
Payment of the enrollment fee (if applicable), will be allocated towards the students’ course fees. The student is required to complete the application form provided in their e-brochure. Upon completion, the student should scan and attach the completed application form along with all the necessary documents listed in the e-brochure required for enrollment. It’s essential to note that fees paid for enrollment are non-refundable.
Students are exclusively authorized to fly to approved airports for cross-country flights. Payments made by students for refueling at approved Cross-Country airports will be acknowledged by the school. However, payments made by students for refueling at unapproved Cross-Country airports will not be acknowledged by the school. To qualify for fuel reimbursement, students must retain their fuel receipts until the 1st of the following month. Reimbursement options include receiving a check or crediting this amount to their school account, specifically for use in flight training. The reimbursement process occurs between the 1st and 5th of each month. It is the student’s responsibility to retain their receipts until the 1st of the following month, as lost receipts will not be reimbursed.
Students are not permitted to fly with a negative account balance. If a student exceeds the minimum hours specified in the original course, additional fees will be required for extra training hours. Fort Worth Flight School does not support payment options for individual lessons. A minimum of 5 hours of additional training must be prepaid. For further training required to complete the course, progressive payments of additional 5 hours of training must be made.
In such cases, students are obligated to maintain a minimum account balance of $500 at all times, exclusively for non-flying purposes. It is the student’s responsibility to ensure they have sufficient funds available with the school for their flight training continually. If the student’s account falls below $500, they will not be permitted to fly until their account is replenished with adequate funds.
Upon completing the course and passing the check ride, any remaining tuition fees in their account can be utilized towards their flying. All fees paid are non-refundable.
In the unlikely event of a pilot being involved in an incident or accident, the pilot will bear the initial $5,000 of damage. For example, if the total cost of repairing a fully damaged aircraft amounts to $200,000, the student will not be required to cover the entire expense, as it is covered by insurance. Therefore, as the pilot assumes responsibility when acting as Pilot-in-Command, they should refrain from conducting flights unless fully confident in their ability to do so responsibly.
In cases where there is no insurance coverage or for portions of any aircraft damage not covered by insurance due to incorrect aeronautical decision-making, negligence, or irresponsible piloting, the pilot will be accountable for the ENTIRE cost of the damage. For this reason, while our aircraft are insured for flight training, we recommend you get additional insurance coverage as well.
Unauthorized retention or use of aircraft overnight will incur a minimum charge of 5 hours of flight time per day.
A charge of $250.00 will be levied against any pilot who leaves the battery master switch on after a flight, leading to aircraft downtime due to battery drainage. If the battery fails to recharge, the pilot will be responsible for the cost of a new battery installation along with 2 hours of dual flight time.
